The situation

Every inbound email landed in one shared inbox: sales leads, service requests, website replies, and follow-ups all mixed together. Teams manually read each message, determined intent, copied details into systems, routed requests to the correct regional team, and tracked progress in spreadsheets.

As email volume grew, this created slower customer response times, missed or poorly qualified leads, incorrect regional routing, and mounting coordination overhead across sales and service teams.

What we built

We rebuilt the process as a single AI-powered inbox orchestration layer. Incoming emails are automatically summarized, classified, linked to the right customer record, and routed into the correct workflow.

The pipeline handles enrichment, validation, and follow-up without manual input: qualifying leads, validating service requests, routing by zip code and region, requesting missing information, scheduling reminders, and syncing status to shared reporting.

The result

Manual inbox handling dropped by around 25 hours per week. First responses now go out in roughly 3 minutes instead of hours, and routing to the right team happens automatically on arrival. Sales and service teams now focus on qualified follow-up and exception handling instead of inbox sorting and spreadsheet updates.
